This is a very interesting topic for me as well. I am the new HPDE Registrar for First Settlers and we just had our first event of the season this past weekend. I had no idea what I was getting in to. Our previous Registrar, now our track chair, had done a tremendous job over the years so it was good he has been working with me during this event but I was extremely overwhelmed.
First Settlers is not the track focused region that Potomac is but our VIR events draw folks from all over the country (and Canada) and we also had pro-coaches attending/working with customers so it is important that we put on a good event. Like Carol and Chris I had no idea how many emails I would be answering every day. Instructor pairing requests are the most difficult. There are lots of variables that go into instructor pairing and I don't believe many drivers really understand that. The other issue I had no idea I'd encounter is drivers self-promoting themselves. If they have a history in MSR its easy to see where they actually should be but many drivers come from other regions or clubs with absolutely no documentation. Sending me an in car video of yourself driving at Sebring is not proof that you are in the advanced group. An email from your club's CI is. The best way to ensure you'll have a spot in an event is register very early. If you are a student and want to be paired with a specific instructor or you are an instructor and want to be paired with a specific student, please talk amongst yourselves first, and then send an email to the registrar. Sometimes instructors will not take certain students for lots of reasons so don't assume your pairing request will be approved. If you are an instructor--please sign up early as well. We can't run the event without you and appreciate your service to the club but please don't wait until I'm in full on panic mode to register. As stressed out as I was being the registrar for my first event I was able to get in three sessions yesterday (VIR Full). My attitude completely changed. The track time made it all worth it and as has been said before--we are all volunteers. We want to have fun as much as every other driver. I thank those that have been in these shoes before me and I thank those that were so helpful to me at the track. Its all worth it though. Saturday we had approximately 17 new drivers attend our Intro to HPDE class and track session. Almost all of them came back into registration with huge smiles on their face and plans to attend our next event. That was so satisfying to see how we as a team have introduced new people to our hobby that we enjoy so much. Scott
